TERMS OF SERVICE

These Terms and Conditions govern all tutoring services provided by Senior Academic Tutoring to students and parents/guardians. By booking or attending a session, you agree to be bound by these Terms.
1. Our Services
1.1 We provide academic tutoring and study support primarily for:
Years 10–12
VCE (Units 1–4)
1.2 Tutoring may be delivered:
In person (where agreed), and/or
Online (via a video conferencing platform).
1.3 Services are educational in nature. We do not provide counselling, therapy, or legal/financial advice.
2. Booking & Enrolment
2.1 A student is considered enrolled once:
A parent/guardian (for students under 18) or the student (if 18+) has confirmed the booking, and
We have confirmed the time, date and format of the session (online or in-person).
2.2 We reserve the right to decline or discontinue services if we believe we are not the right fit for the student’s needs.
2.3 Parents/guardians are responsible for ensuring accurate contact details and emergency contact information are provided and kept up to date.
3. Fees & Payment
3.1 Our current fees are as advertised on our website or in written communication with you (e.g. email).
Example (edit to suit):
Year 10–11: from $[xx] per hour
VCE (Units 3–4): from $[xx] per hour
3.2 Fees are subject to change. Any changes will be communicated in advance and will not affect sessions already paid for or confirmed at the previous rate.
3.3 Payment terms:
Payment is due [e.g. prior to each session / weekly / fortnightly in advance]; and
May be made by [e.g. bank transfer / card / other methods you accept].
3.4 If payment is not received within the agreed timeframe, we may:
Suspend further sessions until payment is made, and/or
Cancel upcoming sessions.
4. Cancellations & Rescheduling
4.1 We understand that emergencies occur. However, to respect our time and other students, the following policy applies:
4.2 Student/parent cancellations
More than 24 hours’ notice: you may cancel or reschedule without charge.
Less than 24 hours’ notice or non-attendance (“no show”):
The full session fee may be charged and is non-refundable.
4.3 Tutor cancellations
If we need to cancel a session, we will provide as much notice as possible; and
Offer to reschedule or provide a credit/refund for any pre-paid amount for that session.
4.4 Rescheduling is subject to availability.
5. Student Behaviour & Expectations
5.1 We expect students to:
Arrive on time and ready to learn;
Treat the tutor and others with respect;
Follow reasonable instructions during sessions; and
Refrain from inappropriate, abusive, or disruptive behaviour.
5.2 We reserve the right to terminate a session early, or discontinue services, if a student’s behaviour is consistently inappropriate or unsafe. Fees for that session may still apply.
6. Learning Needs & Adjustments
6.1 We are committed to supporting diverse learning needs. Parents/guardians are encouraged to share relevant information (e.g. diagnosed learning difficulties, adjustments used at school) so we can tailor our approach.
6.2 We will make reasonable efforts to adjust our teaching strategies and materials. However, we do not provide specialised medical, psychological, or therapeutic services.
6.3 In some cases, we may recommend that you seek additional or alternative specialist support if the student’s needs exceed what we can safely and effectively provide.
7. Online Tutoring (if applicable)
7.1 For online sessions, you are responsible for:
Providing a suitable device, internet connection and audio/video equipment;
Ensuring the student has a quiet, safe, and supervised environment (for students under 18).
7.2 Sessions may not be recorded by either party without prior written consent.
7.3 Login details and meeting links are for your use only and must not be shared publicly.
8. Homework, School Assessments & Academic Integrity
8.1 We aim to support students in understanding their work and developing independent skills. We will not complete assignments, SACs, or assessments on behalf of the student.
8.2 We will:
Help students unpack questions, plan responses and practise skills;
Provide feedback and guidance on drafts, where appropriate.
8.3 You are responsible for ensuring that all school submissions meet your school’s academic integrity policies.
9. Outcomes & Results
9.1 We make every effort to support academic progress. However, we cannot guarantee specific grades, ATARs, or school outcomes.
9.2 Progress depends on many factors, including:
Attendance and punctuality;
Effort and engagement during sessions;
Completion of practice tasks and homework; and
School environment and assessment conditions.
10. Communication with Parents/Guardians
10.1 For students under 18, we may provide general feedback to parents/guardians about:
Attendance and engagement;
Areas of strength and areas for improvement;
Recommended next steps.
10.2 If you prefer limited feedback or contact, please let us know in writing. However, we must comply with any legal or child safety reporting obligations.
11. Child Safety & Duty of Care
11.1 We are committed to maintaining a safe environment for children and young people and to meeting relevant child safety and professional standards.
11.2 Sessions should, where possible, take place in:
A supervised, public or semi-public space for in-person sessions (e.g. living area, library, school space); or
A supervised environment at home during online sessions (for students under 18).
11.3 If we become concerned about a student’s safety or wellbeing, we may be required to follow professional and legal reporting obligations.
12. Confidentiality & Privacy
12.1 We respect your privacy and will handle personal information (e.g. contact details, student data, school reports) with care.
12.2 Information will be used for purposes such as:
Organising and delivering tutoring services;
Monitoring progress;
Communicating with you about sessions and learning.
12.3 We will not share your personal information with third parties without consent, except where required by law or where necessary to protect the safety of the student or others.
13. Intellectual Property
13.1 Teaching materials, resources, and notes provided by us remain our intellectual property unless otherwise stated.
13.2 You may use these materials for personal study only. You must not:
Copy, distribute, or publish them for commercial use;
Share them widely online or with others outside your immediate family, without permission.
14. Limitation of Liability
14.1 To the fullest extent permitted by law, we are not liable for:
Any indirect, incidental, or consequential loss;
Any decisions you make based on the information or guidance provided in sessions.
14.2 Our total liability for any claim arising out of or relating to our services will not exceed the total amount paid by you for the session(s) in question, except where otherwise required by law.
15. Termination of Services
15.1 You may discontinue tutoring at any time by providing reasonable notice (e.g. one week) and paying any outstanding fees.
15.2 We may discontinue services if:
Fees are repeatedly unpaid or paid late;
There are persistent behaviour concerns;
We believe we are no longer the right fit for the student’s needs; or
You breach these Terms.
15.3 Any prepaid sessions will be handled in accordance with our cancellation policy at the time of termination.
16. Changes to These Terms
16.1 We may update these Terms from time to time. The latest version will be posted on our website.
16.2 Continued use of our services after changes are published will constitute acceptance of the updated Terms.
17. Governing Law
17.1 These Terms are governed by the laws of Victoria, Australia.
17.2 Any disputes arising in connection with these Terms or our services will be subject to the exclusive jurisdiction of the courts of Victoria.
